You can request other information such as details about where we get personal information from and who we share personal information with. Our lawful bases for the collection and use of your data

Our lawful bases for collecting or using personal information to provide and improve products and services for clients are:

  • Consent - we have permission from you after we gave you all the relevant information. All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time.
  • Contract – we have to collect or use the information so we can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.

How long we keep information

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, including to comply with legal, regulatory, tax, accounting, or reporting requirements. The specific retention periods depend on the type of data we hold:

  • Employee & HR Records – Retained for 6 years after employment ends (as per the Limitation Act 1980).
  • Payroll & Tax Records – Retained for at least 3 yearsfrom the end of the tax year they relate to (as per HMRC requirements).
  • Recruitment Data (CVs & Applications) – Retained for up to 6 monthsunless consent is given for a longer period.
  • Right to Work Documentation – Retained for 2 years after employment ends (as per UK Home Office requirements).
  • Health & Safety Records – Retained for at least 3 years after the incident or as required by law.

If you remain unhappy with how we’ve used your data after raising a complaint with us, you can also complain to the ICO.
